Bring your clients and invoices with you

Export from the app you use now and choose the files in Sendinvo’s Import. Your clients, your price list, the invoices still owed and the ones already paid come over. You see what each file will do before anything is saved, nothing is sent to your clients, and each import can be undone for 30 days.

What comes over

Clients, items, and invoices owed and paid

Clients

With their people and sites

The people at each client come over with their emails and phones, and so do the billing address, the sites you work at and a VAT number. A client needs only a name: an email or an address missing from the file is asked for when you first send them something.

Items

Your price list, before VAT

Your price list comes in as saved items, with their prices before VAT, units and VAT rates. A price that includes VAT is brought back to the price before it, and an item you already have keeps its own price.

Unpaid invoices

Under their own numbers

Each keeps its own number, dates and figures, with what’s still owed. Sendinvo chases them only if you say so, and when they’re in your own series, your next invoice number carries on after them.

Paid invoices

Each client’s history

They come in as records, owing nothing: never chased, and left out of your accountant’s export and your books.

Where from

A file from any app, or your books

A file from the app you use now

Choose a CSV file or an Excel workbook. Sendinvo recognises the exports of Tradify (customers, sites, price list and invoices), Xero (contacts, products and services, and invoices), QuickBooks (products and services, and invoices) and Google Contacts, and contacts saved as a vCard. Any other spreadsheet is matched by its column names and what’s in them, and a column Sendinvo isn’t sure of is marked for you to check. Import says how to export from each app, and the file itself stays on your computer: only the clients, items or invoices in it reach Sendinvo.

Your Xero or QuickBooks

With your books connected, Bring in from Xero (or QuickBooks) reads your customers, your items, your unpaid invoices and your 1,000 most recent paid invoices, and you tick which of them come in. Nothing in your books changes. A payment you record in Sendinvo on one of those unpaid invoices goes onto the same invoice there.

Your phone’s contacts

In the Sendinvo app, pick people from your contacts and they come in as clients. The app sees only the people you choose. The Sendinvo app is available on the App Store for iPhone and iPad, and there’s no Android app yet.

On a computer

Invoices come in from a file in a web browser on a computer, where the export is and there’s room to check each column. Clients and items can come in from a file in the Sendinvo app too, but most apps export from their website, so the app can email you a link to Import on a computer instead.

What stays behind

Jobs, quotes, notes, photos, files, timesheets and recurring invoices don’t come over, and nor does each payment’s own record: an invoice brings what was paid on it as one figure. Keep the PDFs your old app made of those invoices, because Sendinvo doesn’t make new ones.

Questions

Good to know

What comes over, and what doesn’t?

Your clients with their people, addresses and sites, your price list as items, the invoices your clients still owe, and the ones they’ve paid. Jobs, quotes, notes, photos, files, timesheets and recurring invoices don’t come over, and nor does each payment’s own record: an invoice brings what was paid on it as one figure. Keep the PDFs your old app made, because Sendinvo doesn’t make new ones of those invoices.

Does importing send anything to my clients?

No. Nothing is emailed when clients or invoices come in. An unpaid invoice is chased only if you tick Send Sendinvo’s reminders in the preview, and then only the reminders still to come are sent. Turn your old app’s reminders off for those invoices, or your clients will get two.

Can I do it from my phone?

Invoices come in from a file on a computer, in a web browser. Clients and items can come in from a file in the Sendinvo app too, but most apps export from their website, so a computer is usually easier, and the app can email you a link to Import. People from your phone’s contacts come in from the app.

What if I import the same file twice?

Nothing is added twice. A client, an item or an invoice that came in with an earlier import is left as it is. A client already in Sendinvo is found by an email address or by name and postcode, and you choose whether its blanks are filled in or it’s left alone.

Do paid invoices count in my accountant’s export?

No. They come in so each client’s history comes with them. Sendinvo leaves them out of Export for your accountant and your books, never chases them, and records no payment for them, because the money was paid before Sendinvo saw it.

Can I undo an import?

Yes, for 30 days, from Earlier imports on the Import page. It removes what the import added that nobody has used or changed since, puts back what it filled in where nothing has changed since, and says what it kept and why.
