Your invoices in Xero or QuickBooks, as you send them

Connect Xero or QuickBooks Online once. From then on each invoice and credit note goes into your books when you send it, with the PDF your client got, and each payment goes in when it lands or you record it. Nobody types them in twice.

30 days of everything, free. No card needed.

How it works

Connect it once, then send as usual

1

Connect

An owner or admin presses Connect in Company, under Accounting, and signs in at Xero or Intuit. If your login reaches more than one organisation, choose the one for this business.

2

Check the setup

Sendinvo fills it in from your own chart of accounts: the income account, where bank transfers and card payments go, and where Stripe’s fees go. Change anything that’s wrong, and choose whether to start from today or from an earlier date.

3

Match your clients

Each client is matched to a contact in your books by email, then by name. Change any that are wrong. A client who isn’t there yet is added the first time you send them an invoice.

4

Send as usual

Invoices and credit notes go across when they’re sent, payments when they’re recorded, and a void or a payment you mark unpaid is undone there too. Each invoice shows whether it’s in your books, with a link to open it there.

What it does

What goes across, and what doesn’t

Payments

Into the right account

A card or Pay by Bank payment through Stripe goes into the account you chose for card payments, with Stripe’s fee recorded as a spend beside it. A bank transfer, cash, or a cheque goes into your bank account. Refunds and write-offs don’t go across: the invoice says so, and you record them in your books.

One at a time

Xero or QuickBooks

A company connects one set of books. Disconnect it to connect the other, and everything already added stays where it is.

Needs attention

Told, not hidden

When your books refuse something, the invoice says why and what to change, and Retry sends it once you have. Your client’s invoice has already gone, whatever the books say.

Your own setup

Your accounts, your tax rates

Setup is filled in from the accounts and tax rates your books already have, and adds an account only if you choose one. Sendinvo never switches a currency on: an invoice in one your books don’t have waits and says so.

Questions

Good to know

Which accounting software does Sendinvo work with?

Xero and QuickBooks Online. An owner or admin connects one at a time, in Company, under Accounting. To change from one to the other, disconnect the first: everything already in it stays there.

Does it copy invoices I sent before I connected?

Only if you ask it to. Setup starts with the invoices you send from today, or you can choose an earlier date and the invoices and credit notes sent since then go across too, with their payments.

What about CIS?

Xero works the deduction out from the invoice’s labour lines, at your organisation’s CIS rate. QuickBooks doesn’t take CIS off an invoice that Sendinvo adds, so it shows the deduction as still to pay until you record it there. Sendinvo says so on the invoice rather than leaving the two to disagree.

What if my books refuse something?

The invoice says it needs attention, with the reason in plain words and the one thing to change, such as choosing which contact the client is. Press Retry once it’s fixed and it goes across. Nothing you send to your client waits for it.

Does it cost extra?

No. It comes with the subscription, like everything else: £20 a month for your whole team, after 30 days free with no card.

Send the invoice once, and it’s in the books.

Prefer spreadsheets? Your invoices and payments also export as CSV files.
