Each invoice email arrives carrying the invoice PDF and those files, whether you send it from the van or a recurring invoice sends it for you.
On an invoice’s Email tab, attach the certificate this job produced, the EICR or the commissioning sheet, or leave a standing file out. That invoice alone changes; your defaults don’t.
Quote emails have a separate list, so the method statement a main contractor wants up front rides your quotes while your terms stay with invoices.
An invoice sits unpaid when something is missing from it. The letting agent wants the EICR before they pay for the EICR. The main contractor’s office won’t put your invoice through until your public liability certificate is on their file. Attachments put the paperwork in the same email as the invoice, so nothing has to follow in a second message and nobody asks you for it twice.
Gas Safe and EICR certificates, an MCS certificate, RAMS and method statements, a manufacturer’s warranty, a materials list as a spreadsheet. Photos and video straight off a phone, HEIC included, and a zip of the lot. Photos on a job stay with the job and don’t print on the invoice, so the before and after you want the client to see goes this way. Executables and script-carrying files such as HTML or SVG are refused, and mail providers block most of them anyway. One email carries up to 10 MB of attachments across up to 10 files, not counting the invoice PDF, a size that arrives safely at every mainstream inbox.
