Define the hire period

State the start date, included period, weekly rate, minimum hire and off-hire process from the accepted quote. Do not add unexplained weeks.

Alterations

Identify who requested the change, date, scope and agreed charge. Emergency safety work should also be recorded.

Design and handover records

Reference the relevant design, handover certificate, inspection record or tag used for the job. Keep the formal safety records separate from the invoice but attach them where agreed.

Dismantling and off-hire

Record when off-hire notice was received and when access was available to dismantle. If standing time or aborted visits are chargeable, they must follow the agreed terms and be separately described.

CIS and VAT

Scaffolding operations can fall within CIS depending on the contract. Separate labour, materials or hire elements according to HMRC’s rules and use the verified rate. Check reverse-charge VAT separately for qualifying construction supplies.
