“Roof repair” alone does not show what the customer received. The example names the location, quantity and repair.
Full replacement and staged payments
A replacement roof may use stages such as:
- booking deposit
- scaffolding and materials on site
- roof stripped and made watertight
- coverings, flashings and rainwater goods complete
- snagging, waste removal and handover

Scaffolding and access
State whether scaffolding is included in your price, supplied by you or invoiced directly by another firm.
If it is your cost and part of your supply, describe the access provided. If the customer contracted directly with the scaffolder, do not rebill it as your own line.
Variations and hidden roof defects
A strip-off can reveal rotten decking, damaged rafters or failed insulation. Record the change before charging it.
A variation should state:
- the concealed condition found
- the extra work required
- the price change
- any effect on completion
- who approved it and when
Keep photographs with the approval. Put the variation reference on the invoice instead of folding it into a larger labour total.
Deposits
State that the deposit forms part of the quoted total. Show it as a previous payment on later invoices.
If a 2026 quote totals £10,000 and the customer paid a £2,000 deposit, the final account starts from the full £10,000 job value and deducts the £2,000 already paid. It does not reduce the original contract value to £8,000.
Retention on subcontract roofing
A main contract may provide for retention. Display the current retention deduction and the amount held to date.
Do not add retention to a domestic invoice unless it was agreed. Its percentage, release point and notice process come from the contract, not the invoice template.
CIS for roofers
Roofing work carried out as a subcontractor can fall within CIS. Split labour and materials and use the rate returned when the contractor verifies you.
For £5,000 labour and £3,000 materials at 20%:

VAT domestic reverse charge
The domestic reverse charge can apply to covered roofing services supplied between VAT-registered construction businesses where the customer is not an end user or intermediary supplier.
When it applies in 2026, show the required indication and the VAT the contractor accounts for. Do not add that reverse-charge VAT to the cash due.

Guarantees and handover documents
A guarantee or product warranty is a separate document. Reference it on the invoice and attach it to the email where promised.
Also attach:
- completion photographs
- signed handover sheet
- waste-transfer paperwork where required
- approved variation record
- valuation or purchase-order support
Do not imply a guarantee term that was not agreed in the quote or contract.
