The quantities are illustrative. Your invoice should use the measured area, specification and price agreed for the 2026 job.
Describe areas and materials
“Garden works” is too broad. Name:
- front, rear or side access
- measured area or length
- material and finish
- preparation depth or scope where relevant
- edging, drainage and making good
- waste removed
- planting quantities or schedules
This helps the customer match the invoice to the quote and identify an approved variation.
Deposits and staged landscaping work
A larger project may use:
- booking and materials deposit
- excavation and ground preparation
- hard landscaping complete
- planting, clean-down and handover
State that the deposit is part of the total. Show it as a previous payment on the next invoice.

Plant, hire and waste
State whether plant and waste are included, separately charged or supplied directly by the customer.
For hired plant, identify the machine or service and the agreed charging basis. For waste, describe the removal covered. Do not add an unexplained “sundries” line after the quote has been accepted.
Recurring garden maintenance
For weekly or monthly maintenance, show the service period and property.

List the agreed service:
- mow and edge lawns
- weed planted beds
- cut stated hedges
- remove green waste
- report irrigation faults
A recurring invoice can be raised on the agreed date. One-off tree work, materials or repairs should have separate lines or a separate invoice.
Customer-supplied materials
If the customer buys paving, plants or timber directly, do not include their purchase as your material sale. State that installation is labour-only and identify the customer-supplied item.
Record responsibility for shortages, breakages and delivery delays in the quote before work starts.
Variations
Landscaping variations often follow ground conditions, drainage, access or customer changes.
A variation record should include:
- what changed
- why it changed
- additional or reduced price
- effect on the programme
- customer approval and date
Put the variation reference on the invoice. Do not replace the original quote with a new total that hides the change.
When CIS applies
Some landscaping work falls within construction operations under CIS while other activities may not. The answer depends on the nature of the work and contract, not the business label alone.
Where CIS applies, split labour from qualifying materials and use the contractor’s verification result. The CIS invoice template shows the gross value, deduction and net due.
VAT treatment
Use the VAT liability that applies to the supply. Do not assume all plants, materials and labour use one treatment without checking the rules for the contract.
For subcontract construction services, the VAT domestic reverse charge may apply if the conditions are met. Direct work for a homeowner does not use the reverse charge merely because hard landscaping is construction work.
Payment terms
Agree the deposit, stages and final due date in the quote. Repeat them on the invoice.
